HOURS/WEEK: 30 hours a week SHIFT TIME ZONE: PST SHIFT HOURS: 9:30 AM onward SHIFT DAYS: Monday - Friday Number of VAs: 1 GENDER PREFERENCE: N/A LANGUAGES SPOKEN/PREFERENCE: English ACCENT PREFERENCE: Neutral | MINIMAL REGION PREFERENCES: SOUTH AFRICA, OR OPEN TO OTHER AREAS Job Title: Admin / Receptionist Intake Key Responsibilities: • Greet clients and visitors in a courteous and professional manner • Answer and direct phone calls, emails, and other inquiries • Schedule appointments and manage calendars for document preparation services • Conduct initial intake interviews to gather client information and determine service needs • Explain available services and guide clients through the document preparation process • Maintain accurate records and update client files in the system • Handle incoming and outgoing mail and deliveries • Assist with data entry, filing, and general office organization – MANAGE FILES / CASES • Ensure confidentiality and compliance with company policies and procedures • Provide administrative support to staff as needed • PREPARE AND SEND OUT MARKETING MAILERS OR CLIENT BUYERS/SELLERS PACKETS • WILL ASSIST WITH SOME SOCIAL MEDIA Qualifications: • Previous experience in a receptionist, intake, or administrative role preferred – STRONG PHONE SKILLS • Strong communication and interpersonal skills • Excellent organizational and time management abilities • Proficiency in Microsoft Office and basic computer skills • Ability to handle sensitive information with discretion • Professional appearance and demeanor • EXPERIENCE WITH BASIC CHAT GPT AND AI IS A HUGE PLUS APPLICATION SOFTWARE KNOWLEDGEABLE/REQUIRED: • REsimply • Followupboss • MyCase & Google CRM CLIENT INDUSTRY: Real Estate and Law Want to work with this amazing client?
