We are looking for a highly skilled and experienced Executive Meetings & Events Team Specialist to join our team and help us achieve our goals. **Job Summary** As an Executive Meetings & Events Team Specialist, you will be responsible for supporting the company's corporate affairs and communications team in delivering high-quality events and meetings. This will include managing event logistics, coordinating with suppliers, and ensuring that all events are executed to the highest standard. You will also be responsible for building strong relationships with clients and suppliers, and for identifying opportunities to improve processes and increase efficiency. **Key Responsibilities** * Manage event logistics, including venue sourcing, catering, audio-visual, and transportation * Coordinate with suppliers to ensure that all events are executed to the highest standard * Build strong relationships with clients and suppliers to ensure that their needs are met * Identify opportunities to improve processes and increase efficiency * Develop and implement event strategies to meet client objectives * Manage event budgets and ensure that all events are delivered within budget * Coordinate with internal stakeholders to ensure that all events are aligned with company objectives * Develop and maintain relationships with key suppliers and vendors * Identify and mitigate potential risks associated with events * Develop and implement contingency plans to ensure that events are delivered successfully **Leadership and Relationship Management** * Act as a support to assigned meeting planners to deliver events on behalf of clients * Ability to manage smaller scale meetings & events * Assist with databases and app development for programs * Work closely with support departments to exceed client requirements and objectives * Partner with third party suppliers to arrange their services * May be requested to assist and/or manage VIP, C-Level special projects and oversee VIP logistics/Incentives * Develop strong relationships with multiple contacts within client and supplier organizations **Financial Management** * Work with leader to forecast overall program financials to ensure monthly tracking for actual spend * May initiate and reconcile supplier payments working with GBT * Assist with expense reports * Work with Third Party Lifecycle Management team on creating and maintaining Vendor SOWs & process unity submissions **Minimum Qualifications** * At least 3+ years corporate meeting planning experience * Superior written and verbal communication skills and ability to communicate effectively and professionally with all levels of management and clients * Ability to work in a fast-paced environment while consistently meeting project deadlines and maintaining high quality standards * Capable of working under pressure with a positive attitude and calm demeanor * Highly organized, detail oriented, forward-thinking, proactive, and persistent * Expert ability to influence partners to drive results - analytical skills required * Strong project management skills with attention to detail and proven success driving results * Expertise with Excel (data manipulation and analysis, equations, etc.) and PowerPoint (creating and editing presentations) * Ability to manage projects across businesses, functions and geographic locations * Must be willing to travel - Domestic and international **Preferred Qualifications** * Corporate Executive meeting planning experience * Experience with large scale sporting events (tennis and/or golf) * Experience with meeting industry technology a plus, especially for attendee registration (Cvent) **Salary and Benefits** * Salary range: $55,000.00 to $105,000.00 annually + bonus + benefits * We back our colleagues and their loved ones with benefits and programs that support their holistic well-being.
