About The RoleJoin our dynamic Marketing team as an Executive Administrative Assistant, providing essential administrative support to the US Brand Lead, Senior Director of Marketing Epkinly, two Directors, and serving as backup to other executive assistants. Key ResponsibilitiesManage calendars, coordinate meetings, and proactively resolve scheduling conflicts for executives and teams. Arrange domestic and international travel, process expense reports, and coordinate couriers. Assist with meeting and event planning, including Teams, Zoom, and Telepresence setups. Create, modify, and prepare business documents and presentations from source materials. Liaise for remote access issues and collaborate with other administrative team members. Maintain departmental files adhering to corporate and government regulations. Support new employee office setups and onboarding processes. Provide backup administrative support to higher-level management as needed. Safeguard confidential business information and comply with corporate policies and procedures. Manage office supplies, equipment requests, catering, and space planning as needed. Support tradeshow or exhibit coordination and project management activities. Train or coordinate work for new administrative assistants. Leadership & Interpersonal SkillsDemonstrate accountability, problem-solving skills, and strong communication. Maintain clear updates on task status and escalate obstacles proactively. Balance multiple priorities effectively, build strong working relationships, and foster collaboration. Exhibit a “make it happen” spirit and adaptability to changing priorities. Support business partner needs through initiative and follow-through. Technical Skills & ToolsProficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel). Experienced with SharePoint, Microsoft Teams, Zoom, and Telepresence technologies. Skilled in travel tools, such as Concur for travel and expense management. Competent with conference room reservation systems and office supply management. Knowledge of corporate purchasing policies including SOWs, POs, MSAs, and P-Card procedures. QualificationsSome college education preferred.5+ years of administrative experience supporting executives, preferably in pharmaceutical or CRO environments. Intermediate to advanced proficiency with Microsoft Office, Concur, SharePoint, and business process understanding. Some leadership or supervisory experience is desired. Exhibits strong organizational skills, attention to detail, and ability to work independently and within a team. Adaptable, quick learner with the ability to grasp complex information and adjust priorities as needed. Nice To HaveExperience supporting Marketing trade shows or exhibits.
