About the Role: As an Executive Administrative Specialist, you will serve as a trusted and highly capable partner to senior executives, ensuring the seamless operation of their schedules, communications, and administrative needs. This is a critical role that demands exceptional organizational skills, proactive problem-solving, and a commitment to providing unparalleled support. You will be the engine that keeps things running smoothly, enabling leaders to focus on strategic initiatives and drive Apple’s continued success. Key Responsibilities: • Executive Calendar Management: Expertly manage complex executive calendars, scheduling meetings, appointments, and travel arrangements across multiple time zones and priorities. Proactively anticipate scheduling conflicts and find effective solutions. • Communication Hub: Serve as a primary point of contact, drafting and managing correspondence (emails, memos, presentations) with professionalism and accuracy. Filter and prioritize communications to ensure timely and appropriate responses. • Information Management: Maintain confidential information with the utmost discretion and accuracy. Organize and manage physical and digital files, ensuring easy access and retrieval. • Project Support: Contribute to special projects by conducting research, gathering information, and assisting with the development of presentations and reports. • Meeting Coordination: Prepare meeting agendas, take detailed minutes, and follow up on action items. Ensure all necessary materials are readily available for meetings. • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and ground transportation. Prepare detailed itineraries and manage travel expenses. • Expense Reporting: Prepare and submit accurate expense reports, ensuring compliance with company policies. • Stakeholder Engagement: Build and maintain strong working relationships with internal and external stakeholders. Represent senior leadership professionally in all interactions. • Onboarding & Training Support: Assist in the onboarding and training of new administrative team members. • Process Improvement: Identify opportunities to streamline administrative processes and improve efficiency. Essential Skills & Qualifications: • Exceptional Organizational Skills: Proven ability to manage multiple tasks simultaneously, prioritize effectively, and meet tight deadlines. • Proactive Problem-Solving: Demonstrated ability to anticipate potential problems and develop creative solutions. 'Seeing around corners' and proactively addressing needs before they arise. • Excellent Communication Skills: Exceptional written and verbal communication skills, with the ability to communicate professionally and effectively with all levels of the organization. • Discretion & Confidentiality: Unwavering commitment to maintaining confidentiality and handling sensitive information with the utmost care. • Tech Savvy: Proficiency with a variety of software applications, including Apple's suite of productivity tools (Calendar, Mail, Pages, Numbers, Keynote), collaboration platforms (Slack, Teams), and other relevant technologies.
