Job Summary We're seeking an experienced Facility Coordinator to join our team. As a key member of our operations team, you'll be responsible for delivering exceptional customer service, managing workflows, and ensuring seamless day-to-day operations. Key Responsibilities Workflow management: Answer customer service lines and/or emails, generate work orders for dispatch to appropriate service providers, and coordinate the assignment, tracking, and reporting on all work order activity at each location. Closely track the status of all work orders for location and provide timely communications and weekly reports to keep Manager(s) apprised of any issues. Perform post-work order follow-ups with vendors and clients to ensure completion and satisfaction. Support the development of solutions/remedies required to mitigate a work request. Assist in the collection and oversight of inspections of facilities/properties. Support contract/vendor administration, including but not limited to organization of vendor contracts and insurance information, aiding the bidding process, and ensuring compliance with policies and procedures. Support a high level of service and responsiveness of the subcontracted service. Assist with establishing, measuring, and managing key performance metrics for portfolio operation. Assist in developing and managing processes to ensure all elements of compliance programs are maintained. Receive and code invoices for Manager approval through the invoice processing system. Assist in creating monthly, quarterly, and annual reports for clients. Other duties as assigned. Requirements The successful candidate will possess the following required degrees, certificates, or competencies: High school diploma/GED equivalent; Bachelor's degree preferred 3 years of real estate property/facility management or related experience, or any similar combination of education and experience Knowledge and experience with work orders systems (CMMS/CAFM) Proficiency with Microsoft Office Suite Strong organizational skills; detail-oriented Excellent oral and written communication and presentation skills Strong interpersonal skills: Ability to work with others well, give and take direction, and to interface with decision-makers in a professional manner and maintain confidential information Proven record of excellent internal and external customer service Ability to handle a variety of work with minimal direction and supervision A strong team player, service-oriented attitude, and unwavering positive outlook Skills and Competencies To succeed in this role, you'll need to possess a unique blend of skills and competencies, including: Exceptional customer service skills Strong organizational and time management skills Ability to work in a fast-paced environment with multiple priorities Excellent communication and interpersonal skills Proficiency with Microsoft Office Suite and work orders systems Ability to analyze problems and develop creative solutions Strong attention to detail and accuracy Ability to work independently and as part of a team Career Growth Opportunities and Learning Benefits At Colliers International, we're committed to helping our employees grow and develop their careers.
