For more information, please visit: Job Summary: The Receptionist plays a crucial role in creating a welcoming and supportive environment for patients, visitors, and staff. This position serves as the first point of contact, ensuring that everyone who enters the facility is greeted warmly and assisted with their needs in a professional and compassionate manner. This role is essential in maintaining a positive, organized, and compliant environment within the facility, ensuring that patients receive the best possible care from the moment they walk through the door. Essential Duties and Responsibilities: Warmly greet patients, visitors, and staff as they enter the facility. Provide directions and answer initial inquiries with a friendly and professional demeanor. Assist patients with check-in procedures, ensuring all required information is accurately recorded. Help with the ordering of necessary supplies, coordinating with the relevant departments to maintain stock levels. Perform various clerical duties, including typing documents, filing paperwork, managing mail/correspondence flow, and organizing electronic files. Ensure all documents are properly labeled and stored for easy access and retrieval. Manage the facility's phone lines, answering and directing calls as necessary. Provide information and assistance to callers, taking messages or forwarding calls to appropriate personnel. Maintain facility security by following established procedures, including monitoring the logbook, checking in visitors, and ensuring only authorized personnel have access to restricted areas. Report any suspicious activity or security concerns to the appropriate personnel immediately. Relay important information to the supervisory team regarding patients, visitors, and any issues that may affect the facility's operations. Ensure communication lines between the receptionist desk and other departments are clear and effective. Keep the reception area clean, organized, and free of hazards by following facility policies, procedures, and regulations. Regularly check that all materials, such as pamphlets and forms, are stocked and up to date. Adhere to all necessary regulatory and company compliance requirements, including HIPAA regulations. Maintain strict confidentiality concerning patient information and staff matters, treating all with kindness, dignity, and respect. Ensure compliance with Patient Rights regulations, ensuring all patients are treated fairly and with respect. Follow all facility policies and procedures, ensuring consistent and effective operations. Attend all required meetings, including on-site staff meetings and multidisciplinary team meetings, contributing to discussions and providing relevant updates. Manage and distribute iPads to patients and staff as needed. Maintain and post patient schedules and calendars. Log patients' valuables upon admission and discharge.
