Position Summary The Online Scheduler is responsible for coordinating, managing, and confirming all moving appointments through digital platforms. This role ensures smooth communication between customers, movers, and management while maintaining accurate records in the scheduling system. Key Responsibilities • Scheduling & Coordination • Manage incoming move requests from online forms, emails, and phone calls. • Enter all move details into the scheduling system (Google Sheets, Jotform, ServiceM8, etc.). • Assign movers based on availability, location, and job requirements. • Update schedules in real-time and ensure movers have the correct information. • Customer Communication • Send booking confirmations, reminders, and follow-ups to clients. • Answer scheduling-related customer questions promptly and professionally. • Reschedule or adjust bookings as needed. • Mover Communication • Post new jobs in the movers’ Slack channel for sign-ups. • Confirm assigned movers and send them final job details. • Ensure movers receive reminders 24 hours before each move. • Documentation & Record Keeping • Keep accurate records of scheduled moves, assigned movers, and completed jobs. • Update move logs with customer details, job numbers, and payment info. • Track mover hours and mileage if required. • Quality Control • Confirm details with customers before move day (address, items, timing). • Verify mover assignments and ensure required team size matches the job. • Follow up with customers post-move for reviews/feedback. Skills & Qualifications • Strong organizational and multitasking skills. • Clear written and verbal communication. • Comfortable using Google Suite (Sheets, Calendar, Forms), Slack, and scheduling software. • Customer service experience preferred. • Problem-solving skills for handling last-minute changes. Work Environment • Remote/online position (flexible hours, peak times during mornings and weekends). • Must be available to check messages and update schedules daily. • Reports directly to Operations Manager/Owner. Performance Metrics • Accuracy of scheduling (minimal double bookings or errors). • Response time to customers and movers. • Job completion rates without rescheduling delays. • Customer satisfaction ratings and positive reviews.
