Support day-to-day needs of the Head of Worldwide Events and Experiences to ensure their days run smoothly by effectively managing their time to have the greatest impact. Intense calendar management, organizing meetings across multiple time zones - in person and virtually. Book and maintain complex travel schedules, domestic & international and process expense reports in a timely manner. Plan, coordinate and communicate team events such a group meetings, team building events, off-sites and all hands meetings. Manage team onboarding, access and support. Prepare and edit correspondence, reports, presentations, and other documents as needed. Coordinate and organize internal and external meetings, including preparing agendas, taking minutes, and following up on action items. Act as a liaison between your executive and internal/external stakeholders, maintaining professionalism and confidentiality. Submit purchase requests/orders and maintain overall invoice tracking for the team, be a point of contact for Finance. Collaborate across the team on multiple calendars and weekly staff agendas. Actively be involved in Facilities projects, knowing the teams' space and needs across multiple different cities. Collaborate with other assistants across the world to ensure scheduling, meetings and travel run smoothly. Accountability for excellent and cooperative relationships with other assistants.
