Position Summary This is a full-time, benefited position. All University of Denver employees are eligible to be considered for a partial remote work option. This position will report to Judy Farmer, the Student Services Administrator. Members of the Student and Academic Services team provide support to specific academic programs within GSPP as well as working on projects that cut across programs. These duties may change over time as GSPP's needs evolve. Student Services: This individual supports student success by using multiple software systems to track and process student records and actively works to promote record accuracy and completeness. The role also promotes clear communication between the Student and Academic Services team and faculty and students in specific programs. The role may be assigned to liaise with specific academic programs, depending on GSPP's needs. Licensure and Accreditation: Specific projects will vary over time, but initially this role will manage licensure process documentation and communication for students and alumni. This will require developing and maintaining an active understanding of the complex and changing nature of MA-level licensure related to behavioral health. In addition, the role will support all administrative aspects of accreditation processes, including online research (e.g., licensure data) and data entry. The Student Services Coordinator will also provide support to other documentation and data efforts in support of the Student and Academic Services team, such as the annual accreditation, Bulletin, and Handbook processes. Documentation is an essential first step toward to promote clear communication and improve processes. Other projects may be assigned depending on GSPP's needs. This role will participate in relevant meetings and groups, such as the Student and Academic Services Team and the Accreditation and Licensure Committee. Other: All GSPP staff are asked to promote a model workplace through cross-training to support one another, documentation to improve institutional memory, process improvement, and active engagement with learning and growth around diversity, equity, and inclusion. Essential Functions Student Records • Track student records for program, accreditation, and licensure requirements • Run quarterly reports to identify issues in student records and follow up with students, faculty, supervisors, and advisors to complete student records • Advise students on their student records and paperwork • Track and certify progress toward graduation and preliminary milestones • Upload documents to various software systems and do data entry and cleaning • Manage licensure requests and inquiries from students and alumni Student Success • Communicate directly with students as needed to guide them through registration, running reports and partnering with advisors as needed • Track student registration and leaves and other data related to student retention and success • Educate students in professionalism and provide feedback to advisors accordingly • Understand other GSPP and DU resources and personnel and connect students to these as appropriate • Engage in professional development to provide student support with cultural sensitivity Communication and Process Improvement • Regularly attend meetings with faculty and students for assigned programs • Collaborate with faculty and staff to promote effective communication of information to students through, e.g., orientation, Handbook, emails, etc. • Actively engage in collaborative process improvement to improve the student experience and to improve workflow in the Student and Academic Services team • Participate as member of staff teams and relevant committees and engage in cross-training • Adapt to change and engage in learning and growth Licensure, Accreditation, and other Projects • Coordinate accreditation efforts through development and implementation of project plans, and assist with research, data gathering through survey creation and follow-up, and data-entry as needed • Manage licensure requests, including researching changing state statutes • Develop and maintain documentation regarding licensure processes • Promote knowledge management and consistency in documents such as the student and instructor handbooks • Create and organize documents to promote institutional memory, particularly for the Student and Academic Services team • Assist with proposed transitions to and integration of new software systems for student records tracking • Provide general support to the above efforts and additional documentation and data projects, including through drafting, editing, proofreading, data entry, outreach, research, and conducting polite but firm follow-up with a variety of stakeholders • Fulfill other duties as assigned Knowledge, Skills, and Abilities • Knowledge of licensure and accreditation processes • Knowledge of higher education • Proven oral and written communication skills • Strong organizational and time management skills • Project management skills • Strong writing skills • Ability to maintain data integrity • Ability to exhibit strong attention to detail • Ability to work both independently and as part of a team • Ability to use and learn a variety of technological tools Required Qualifications • 1-3 years of work experience that is directly related to the essential job functions Preferred Qualifications • 4-6 years of work experience that is directly related to the essential job functions • Experience with higher education accreditation processes • Demonstrated familiarity with the fields of psychology and sport • Experience providing customer service • Experience with record keeping Working Environment • Standard office environment. • Unexpected interruptions occur often and stress level is moderate to high. • Noise level is quiet to moderate.
